  1. HOW WE USE YOUR PERSONAL INFORMATION

4.1 Website enquiries and contact forms

When you submit an enquiry through our website, we use the information you provide to respond to your enquiry and, where appropriate, continue the conversation with you.

Our website contact forms are provided using WPForms Lite. Depending on the form, information submitted may include your name, email address, telephone number and the contents of your message.

The information submitted through our website is transmitted to us by email and may also be stored within the website’s WordPress database, depending on the configuration of the form and website.

We use WP Mail SMTP to facilitate the delivery of website-generated emails through our FastHosts email service.

Lawful basis: legitimate interests.

Our legitimate interest is being able to communicate with people who contact Anyplace Theatre and respond appropriately to their enquiries.

We do not use information submitted through a general contact form for marketing purposes simply because someone has contacted us.

• Process your booking;
• Issue and administer your ticket;
• Provide booking confirmation;
• Communicate important information about your event;
• Manage attendance;
• Administer event arrangements;
• Contact you where necessary about your booking;
• Process refunds or deal with cancellations or changes; and
• Maintain appropriate financial and business records.

Lawful basis: performance of a contract.

We may also process certain information because we have a legal obligation to maintain appropriate financial, accounting or business records.

Lawful basis: performance of a contract and/or legitimate interests, depending on the particular circumstances.

Where information about an accessibility requirement, health condition or dietary requirement amounts to special category personal data under UK GDPR, we will only process it where an appropriate additional lawful condition applies.

You are not generally required to provide this information. However, if you choose not to provide information that is necessary for a particular accessibility or event arrangement, we may not be able to provide that arrangement.

We will only retain event-specific information for as long as it is reasonably necessary.

You can withdraw your consent at any time.

You can do this by using an unsubscribe facility included in a marketing email, where available, or by contacting us at anyone@anyplacetheatre.co.uk.

Withdrawing consent will not affect the lawfulness of processing carried out before consent was withdrawn.

We will not sell or rent your personal information to third parties for their own marketing purposes.

• Maintain accounting and financial records;

  1. WORDPRESS, ELEMENTOR AND OUR WEBSITE

Our website uses WordPress as its content management system and Elementor as its website-building platform.

Our website is hosted by IONOS. The website may therefore process limited technical information necessary for website operation, security, maintenance and hosting.

We use the following WordPress plugins and services that may be relevant to personal data or website operation:

• WPForms Lite;
• WP Mail SMTP;
• CookieYes;
• Elementor;
• IONOS Essentials;
• Independent Analytics;
• One Time Login; and
• Ticket Tailor.

Plugins and services may be updated, replaced or removed over time. We will review this Privacy Policy where a change materially affects how personal information is processed.

  1. WPForms LITE AND WEBSITE CONTACT FORMS

We use WPForms Lite to provide contact forms on our website.

When you submit a contact form, the information you enter is transmitted to us so that we can respond to your enquiry.

Depending on the configuration of the particular form, information submitted may include your name, email address, telephone number and the contents of your message.

WPForms may also store submitted form entries within the WordPress website database, depending on the form configuration and features in use.

We recommend that you do not include unnecessary sensitive or confidential information in a website contact form.

  1. WP MAIL SMTP AND EMAIL DELIVERY

We use WP Mail SMTP to improve the reliability of emails generated by our WordPress website.

WP Mail SMTP acts as an email delivery mechanism and routes website-generated emails through our email service provided by FastHosts.

The use of WP Mail SMTP allows website-generated messages, including contact form notifications and other necessary website emails, to be delivered through our configured email service.

Information contained within an email generated by the website may therefore be transmitted through the email infrastructure used by FastHosts.

We do not use WP Mail SMTP as a separate marketing or customer database.

  1. FASTHOSTS EMAIL

We use FastHosts for our business email services.

Personal information may be processed through our FastHosts email service where you contact us by email or where information from our website is sent to us by email.

This may include your name, email address, the contents of your message and any information contained in attachments you choose to send us.

We use this information to communicate with you, respond to enquiries, administer bookings and conduct our business.

Email communications may be retained for as long as reasonably necessary for the purposes described in this Privacy Policy, including maintaining business records and dealing with future enquiries or disputes.

  1. INDEPENDENT ANALYTICS

We use Independent Analytics to understand how visitors use our website and to help us improve its content and performance.

Independent Analytics is designed as a privacy-friendly WordPress analytics solution. According to its developer, analytics data is processed and stored within the website’s own WordPress database rather than being sent to external analytics servers, and it does not use cookies for visitor tracking.

The information generated may include statistical and technical information about website visits, such as:

• Pages visited;
• Date and time of visits;
• Referring sources;
• Browser and device information;
• Approximate geographic information; and
• Other information used to produce website usage statistics.

We use this information for statistical and website-improvement purposes.

We do not use Independent Analytics to identify individual visitors or to make decisions about individuals.

We do not use Google Analytics on the Anyplace Theatre website.

  1. COOKIEYES AND COOKIES

We use CookieYes to help manage cookie consent and preferences on our website.

Our website may use cookies or similar technologies that are necessary for the operation and security of the website or for particular website functions.

Where a cookie or similar technology requires consent under applicable UK privacy law, we will seek your consent before using it.

Our current website configuration may use cookies associated with CookieYes and WordPress functionality. The precise cookies used may change as our website, plugins and services are updated.

Independent Analytics is designed to operate without cookies.

For more information about the cookies currently used on our website, please see our Cookie Policy.

  1. TICKET TAILOR

We use Ticket Tailor as our online ticketing and box-office platform.

When you purchase a ticket through Ticket Tailor, information required to process and administer your booking is collected and processed through the Ticket Tailor platform.

This may include information such as:

• Your name;
• Email address;
• Contact details;
• Ticket and event information;
• Booking information; and
• Information necessary to administer your attendance.

We use this information to fulfil your ticket purchase, administer the event and communicate with you about your booking.

Ticket Tailor acts as a service provider to us and uses third-party service providers to provide its ticketing services.

Ticket Tailor maintains its own privacy and data protection information, including information about its sub-processors.

  1. STRIPE AND PAYMENT PROCESSING

Payments for Anyplace Theatre tickets are processed through the payment services made available through Ticket Tailor.

We currently use Stripe as our payment processor.

Stripe may process personal information associated with a payment as both a controller and processor, depending on the particular processing activity.

Anyplace Theatre does not receive or store your full payment card number or security code.

Payment card information is handled by Stripe and the relevant payment infrastructure rather than being stored by Anyplace Theatre’s WordPress website.

Stripe may process personal information outside the UK where necessary to provide its services. Appropriate safeguards are used for international transfers where required by applicable data protection law.

  1. WHO DO WE SHARE PERSONAL INFORMATION WITH?

We only share personal information where there is a legitimate reason to do so.

Depending on how you interact with us, this may include:

• Ticket Tailor, for ticketing and event administration;
• Stripe, for payment processing;
• IONOS, for website hosting and related website services;
• FastHosts, for business email services;
• WP Mail SMTP, where necessary to facilitate website email delivery;
• Technical service providers needed to operate and maintain our website;
• Venues or event partners where information is reasonably necessary to administer an event or provide an agreed service;
• Professional advisers, such as accountants or legal advisers, where necessary; and
• Public authorities, regulators or law enforcement agencies where we are legally required to do so.

We do not sell your personal information.

  1. INTERNATIONAL TRANSFERS

Some service providers we use may process personal information outside the United Kingdom.

Where personal information is transferred outside the UK, we will take reasonable steps to ensure that the transfer is lawful under applicable UK data protection law.

Depending on the circumstances, this may involve:

• A UK adequacy regulation;
• Appropriate contractual safeguards;
• The UK International Data Transfer Agreement;
• The UK International Data Transfer Addendum; or
• Another lawful transfer mechanism recognised under UK data protection law.

The location and arrangements used by third-party service providers may change from time to time. Where relevant, we rely on the safeguards and transfer mechanisms provided by those services to support lawful international transfers.

  1. HOW LONG DO WE KEEP YOUR INFORMATION?

We do not keep personal information for longer than is reasonably necessary for the purpose for which it was collected.

Different information may therefore be retained for different periods.

Our general retention approach is:

• Website/contact enquiries: Normally up to 12 months after the enquiry has been resolved.
• Ticket booking information: For as long as reasonably necessary to administer the event and deal with booking queries, refunds and related matters.
• Financial and transaction records: For the period required by applicable tax and accounting requirements.
• Marketing information: Until you unsubscribe or withdraw consent, subject to periodic review.
• Accessibility or event-specific information: Normally deleted when no longer required for the relevant event or purpose.
• Website analytics information: Retained within the WordPress website for as long as reasonably necessary for website analytics and improvement.
• Business email correspondence: For as long as reasonably necessary to deal with the enquiry, maintain appropriate business records or establish, exercise or defend legal claims.

These are typical retention periods rather than absolute deadlines.

We may retain information for longer where necessary to comply with a legal obligation or to establish, exercise or defend legal claims.

  1. SECURITY

We take reasonable technical and organisational measures to protect personal information against:

• Unauthorised access;
• Accidental loss;
• Destruction;
• Misuse;
• Alteration; and
• Unauthorised disclosure.

Access to personal information is limited to people and service providers who reasonably need it for the purposes described in this Privacy Policy.

However, no method of transmitting or storing information online can be guaranteed to be completely secure.

  1. YOUR DATA PROTECTION RIGHTS

Under UK data protection law, you may have the right to:

• Access the personal information we hold about you;
• Correct inaccurate or incomplete personal information;
• Request erasure of your personal information in certain circumstances;
• Request restriction of processing in certain circumstances;
• Object to certain processing, including processing based on legitimate interests;
• Receive or request transfer of your personal information in certain circumstances;
• Withdraw consent where we rely on consent as our lawful basis; and
• Complain to the Information Commissioner’s Office.

These rights are not absolute and may not apply in every circumstance.

If you wish to exercise any of these rights, please contact:

anyone@anyplacetheatre.co.uk

We will normally respond to a valid request without undue delay and, in most circumstances, within one month.

We may need to ask for information to verify your identity before responding to a request.

  1. YOUR RIGHT TO OBJECT TO DIRECT MARKETING

You have an absolute right to object to the use of your personal information for direct marketing.

You can unsubscribe from marketing communications at any time by using the unsubscribe facility provided in the communication, where available, or by contacting:

anyone@anyplacetheatre.co.uk

  1. CHILDREN’S INFORMATION

Our website and events are not generally directed at children.

Where children attend an Anyplace Theatre event with a parent, guardian or other responsible adult, we may process limited information necessary to administer the booking or event.

We do not knowingly collect children’s personal information for marketing purposes.

Where information concerning a child is provided to us, we will handle it in accordance with applicable data protection law and only use it for the purposes for which it was provided.

  1. AUTOMATED DECISION-MAKING AND PROFILING

We do not currently use personal information to make decisions about individuals based solely on automated processing or profiling that produce legal or similarly significant effects.

We do not use the information collected through Independent Analytics for automated decision-making about individuals.

  1. CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy from time to time to reflect changes to:

• Our business;
• Our website;
• Our ticketing arrangements;
• Our service providers;
• Our use of personal information;
• Technology; or
• Applicable legal requirements.

The most recent version will be published on this page, together with the date on which it was last updated.

Where a change materially affects how we use personal information, we will take reasonable steps to bring the change to people’s attention where appropriate.

  1. COMPLAINTS

If you have concerns about how we have handled your personal information, please contact us first so that we have an opportunity to resolve your concerns.

You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s independent supervisory authority for data protection.

You can find information about making a complaint on the ICO’s website:
